1. EVENT REGISTRATION

1.1.

To register as an athlete for any XCELREC Event, you must complete the following steps via our official website:

1.1.1.

Accurately complete the Event registration form, which is available on the XCELREC website for each specific Event. You must not provide false or misleading information or use another person’s details. Any individual found to have registered using false, inaccurate, or misleading information or documents will have their registration cancelled and may be prohibited from participating in future XCELREC Events. The submission of falsified documents for entry may also constitute a criminal offence.

1.1.2.

Provide your consent to the storage and processing of your personal data in accordance with applicable data protection laws and XCELREC’s Privacy Policy.

1.1.3.

Confirm that you have read, understood, and accepted these Terms & Conditions (T&Cs).

1.1.4.

Agree to pay the participation fee (“Fee”) corresponding to the Event as listed on the Event registration form.

1.2.

Completion of the registration process constitutes a binding and irrevocable offer to participate in the Event under these T&Cs.

1.3.

Once XCELREC confirms your registration by email and requests ticket personalization, a binding agreement is formed between you and XCELREC for participation in the Event, governed exclusively by these T&Cs.

1.4.

To participate in any Event, you must:

  • Be at least sixteen (16) years of age.

  • Be in good health and physical condition.

  • Provide, upon request by the Local Organizer, a valid medical certificate or doctor’s note confirming your fitness to participate.

  • Have duly completed registration for the Event.

  • Have personalized your Event ticket (identified by a unique QR code or barcode).

  • Be officially accredited and in possession of your participant number.

1.5.

You are solely responsible for assessing your fitness and health prior to and during the Event. You acknowledge that your physical condition may change between registration and the Event date due to illness, injury, or other factors, and you bear full responsibility for such changes. You may not cancel or withdraw from the agreement on these grounds and will be responsible for any costs incurred as a result of meeting clause 1.4.

1.6.

If you are under eighteen (18) years of age, you must submit a signed parental or guardian consent form no later than seven (7) days before the Event. Failure to comply will result in cancellation of your registration, and your Fee will be refunded minus any applicable service charges as stated in clause 3.2 (Service Fee clause moved below in numbering).

1.7.

Spectators may purchase tickets to attend XCELREC Events. Spectator tickets must be personalized prior to the Event and associated with a QR code or barcode. XCELREC reserves the right to require proof of good health from spectators under the same conditions described in clause 1.4. Spectators assume all risks related to their health status and associated costs.

1.8.

The Local Organizer reserves the right to disqualify or exclude any participant from the Event—without refund of the Fee or associated expenses if:

  • False personal information was provided during registration.

  • Ticket personalization was not completed prior to the Event.

  • There is reasonable suspicion of poor physical health or fitness.

  • The participant’s actions or omissions, at any stage before, during, or after the Event, endanger others.

  • The participant is found to possess or be under the influence of prohibited or illicit substances.

  • The participant is currently suspended by any recognized sports or anti-doping authority.

1.9.

Registration may also be completed using a voucher issued at another official XCELREC Event. Vouchers are non-transferable and must not be sold or given to third parties.

2. THE FEE, SERVICE FEE AND PAYMENT

2.1.

All prices on the XCELREC registration platform are inclusive of applicable taxes.

2.2.

In addition to the Fee, a non-refundable service fee of six per cent (6%) of the Fee is payable with each registration for participation or attendance. This service fee is due in addition to the Fee.

2.3.

The Fee and the service fee are due immediately upon submission of your registration. Payment may be made using the methods listed on the registration platform, which may include:

2.3.1.

Credit or debit card;

2.3.2.

UPI;

2.3.3.

Any other supported payment gateway or provider notified on the XCELREC website.

2.4.

If payment fails or is reversed for any reason, the Organizer may immediately terminate your registration without liability. You will be responsible for any reasonable costs incurred due to such termination.

3. ARRIVAL / ACCESS TO THE EVENT

3.1.

Upon arrival at the Event venue, and subject to presentation of:

3.1.1.

Your official registration confirmation displaying a valid QR code or barcode;

3.1.2.

A valid government-issued photo identity document;

3.1.3.

If required, evidence of your state of health as described in clause 1.4, you will receive your athlete starting pack (if registered as an athlete) and will be granted access to the Event grounds, provided you do not exhibit typical symptoms of illness such as shortness of breath, persistent cough or fever.

3.2.

XCELREC reserves the right to request additional information regarding your health status. If, at the Event, you display symptoms consistent with an infectious or serious illness, you may be removed from the Event without any refund of the Fee.

4. POSTPONEMENT / CANCELLATION OF EVENTS

4.1.

XCELREC is under no obligation to conduct any Event and may, at its discretion and without liability, postpone, cancel, or change the time or location of any Event for reasons including but not limited to:

4.1.1.

Circumstances beyond its reasonable control, including force majeure or economic impracticability;

4.1.2.

Failure to obtain required permits or authorizations;

4.1.3.

Safety considerations for participants, spectators, staff, or the general public;

4.1.4.

Changes in applicable laws or regulations.

4.2.

If an Event you are registered for is cancelled fully and not rescheduled, you will be entitled to a complimentary rebooking to another XCELREC Event within the same Territory in the same or next Season, subject to availability. If no such Event exists, XCELREC will refund the Fee you paid.

4.3.

If an Event you are registered for is postponed, your registration automatically applies to the next rescheduled edition, and your ticket remains valid.

4.4.

If postponement or cancellation causes significant financial hardship, and you can demonstrate this to XCELREC, a refund may be issued at XCELREC’s discretion.

5. PARTICIPATION, RISK, LIABILITY AND DISCLAIMER

5.1.

Participation in any XCELREC Event is at your own risk and requires that you are in good health and appropriate physical condition.

5.2.

By registering, you acknowledge that you may suffer injury, illness, or exposure to infectious diseases.

5.3.

XCELREC excludes liability for loss, damage, or injury except as outlined in 5.4.

5.4.

Nothing in these T&Cs limits liability for:

  • Fraud

  • Death or personal injury due to negligence

  • Financial loss due to gross negligence

  • Other non-excludable legal obligations

5.5.

XCELREC assumes no responsibility for theft, loss, or damage to personal belongings.

5.6.

Liability exclusions apply equally to employees, volunteers, and agents of XCELREC.

6. PRIVACY, DATA PROTECTION AND IMAGE RIGHTS

6.1.

You acknowledge and agree that XCELREC may collect and process data for operational and legal purposes.

6.2.

XCELREC and partners may create audio, video, and photographic Event recordings.

6.3.

Media Content may be used globally for 2 years.

6.4.

XCELREC may store, reproduce, broadcast, or adapt Media Content.

6.5.

You consent to the use of Media Content without compensation.

6.6.

Photo partners may contact you if you have purchased related add-ons.

6.7.

Regarding medical matters:

6.7.1.

Your personal and medical data may be shared with authorized medical personnel.

6.7.2.

You consent to on-site medical assistance.

6.8.

You may record only personal non-commercial photos or videos.

7. XCELREC INTELLECTUAL PROPERTY RIGHTS

7.1.

XCELREC is the owner of all XCELREC Event IP.

7.2.

Use of XCELREC IP is not permitted unless expressly authorized.

7.3.

You may not imply partnership or affiliation without written consent.

8. COMPETITION RULES

The official XCELREC Rulebook applies to each Event.

9. GENERAL

9.1.

The English version prevails in case of translation inconsistencies.

9.2.

These T&Cs constitute the entire agreement.

9.3.

The contract is governed by the laws of India.

9.4.

Invalid provisions do not affect the rest of the agreement.

10. ACKNOWLEDGMENT, RELEASE AND REPRESENTATIONS

YOU UNDERSTAND AND ACKNOWLEDGE THAT BY CHECKING THE BOX DURING REGISTRATION, YOU WAIVE CERTAIN LEGAL RIGHTS INCLUDING THE RIGHT TO CLAIM DAMAGES. THIS OPERATES AS A RELEASE AND INDEMNITY.
YOU CONFIRM THAT YOU HAVE READ AND UNDERSTOOD THESE T&Cs AND AGREE VOLUNTARILY.
